What is DDSFAX?
DDSFAX is a cloud-based fax service designed to support HIPAA compliance, built exclusively for Dental Practices. You send and receive unlimited faxes from a web dashboard — no fax machine, no phone line, no per-page fees. It costs $189 per year. How do I sign up?
Create your account at ddsfax.com, verify your email, and complete checkout for $189/year. Once payment is processed, you can keep your existing fax number or pick a new dedicated number and start sending right away. Cancel anytime — we offer a 30-day money-back guarantee.
Can I keep my existing fax number?
Yes. We offer free number porting from any provider — see our comparison page for how DDSFAX stacks up against eFax, SRFax, and a traditional fax line. The port typically takes 2–5 business days. We handle all communication with your previous provider. You can use a temporary DDSFAX number while the port is in progress.
Do I need any special hardware or software?
No. DDSFAX works entirely from your web browser. Any device with internet access — computer, tablet, or phone — can send and receive faxes. No fax machine, no phone line, no software installation.
Billing & Pricing
How much does DDSFAX cost?
DDSFAX costs $189 per year for a single fax number with unlimited sending and receiving. There are no per-page fees, no setup fees, and no contracts. That is the complete price. Use our savings calculator to see what your office would save vs. its current fax bill.
Why was I charged?
If you see a charge from DDSFAX on your bank or card statement, it is your annual subscription payment. Subscriptions renew automatically each year. If you believe a charge is incorrect, contact support@ddsfax.com and we will investigate within one business day.
Can I get a refund?
Yes. We offer a full 30-day money-back guarantee. If you are not satisfied for any reason within 30 days of payment, email support@ddsfax.com and we will refund the full amount. See our Refund Policy for details.
How do I cancel my subscription?
Go to Dashboard → Billing → Manage Subscription and click Cancel. No phone calls, no retention attempts. Your service continues through the end of your paid period. See our Cancellation Policy for full details.
Are there any contracts or commitments?
No. DDSFAX is contract-free. You can cancel anytime with zero fees. Your service continues through the end of your paid period.
Faxing
How do I send a fax?
Log in, click "Send a Fax," enter the recipient fax number, upload your document (PDF), and click Send. Your fax is transmitted over our encrypted network and you receive delivery confirmation in your inbox.
What file formats can I fax?
DDSFAX supports PDF documents for fax transmission. If you have documents in other formats (Word, images, etc.), convert them to PDF before uploading.
How do I receive faxes?
Faxes sent to your DDSFAX number appear automatically in your inbox. You receive them instantly — no waiting for a machine to print. You can view, download, and forward received faxes from the dashboard.
Is there a limit on how many faxes I can send?
No. Subscribers get truly unlimited faxing — both sending and receiving — for the flat $189/year. There are no per-page fees, no monthly caps, and no overage charges.
HIPAA & Security
Is DDSFAX designed for HIPAA compliance?
Yes. DDSFAX is designed from the ground up to support HIPAA compliance. All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Every account includes a signed BAA, comprehensive audit logs, access controls, and security policies. As a covered entity, your practice is responsible for using the service in accordance with HIPAA. See our HIPAA Compliance page.
Do you offer a BAA?
Yes. A signed Business Associate Agreement (BAA) is included with every paid subscription at no extra cost. Your BAA takes effect automatically when you subscribe. See our BAA page for details or email hipaa@ddsfax.com for a custom BAA.
Who can see my faxes?
Only you and authorized users on your account. DDSFAX staff cannot read your fax content. All fax documents are encrypted at rest and access is strictly limited to automated transmission systems. Our audit logs track every access event.
How long are my faxes stored?
Fax content (PDFs) is stored for 90 days, then permanently deleted. You can delete faxes earlier from your dashboard. Transmission metadata (dates, numbers, status) is retained for 7 years per HIPAA audit requirements. See our Privacy Policy.
Account & Support
How do I contact support?
Email support@ddsfax.com. We respond within one business day, usually within a few hours. For HIPAA questions, email hipaa@ddsfax.com. For billing, email support@ddsfax.com. Business hours are Monday–Friday, 8 AM–6 PM CT.
Can I change my fax number?
Contact support@ddsfax.com to request a number change. We can provision a new local number or help you port a different existing number.
What happens if I forget my password?
Click "Forgot password?" on the login page. We will send a secure magic link to your email address. Click the link to sign in without a password and then update your credentials in Settings.
